ATS Resume Tricks: Stop Getting Rejected by the Robot

I’ve screened over 10,000 resumes. Most of them never reach my eyes. They get shredded by an Applicant Tracking System (ATS) before I even sip my morning coffee.

You’re losing career opportunities because your formatting is sloppy. Here are the blunt ATS resume tricks you need to stop getting auto-rejected.

Stop Using Fancy Templates

Creative layouts look nice to humans. Robots hate them. Columns, text boxes, and graphics confuse parsing algorithms.

The ATS reads left-to-right, top-to-bottom. If you use a two-column layout, it might read your skills section as part of your work history.

Delete the columns. Stick to a single-column, reverse-chronological format.

  • Avoid headers and footers for contact info; the ATS often ignores them.
  • Use standard fonts like Arial, Calibri, or Times New Roman.
  • Keep font size between 10 and 12 points.

Match Keywords Exactly

The ATS isn’t smart. It doesn’t understand synonyms well. If the job description says "Project Management," don’t write "Leading Projects."

Scan the job posting. Identify the hard skills.

Mirror that language exactly in your resume. This meets the basic ATS resume standard for keyword matching.

  1. Copy the job description into a word cloud tool.
  2. Identify the top 5-7 recurring hard skills.
  3. Insert those exact phrases into your skills and experience sections.

Ditch the Skill Bars

I roll my eyes every time I see a progress bar for "Communication." What does 80% communication even mean? Are you 20% mute?

These graphics are unreadable by most ATS platforms. They also tell me nothing about your actual Professional skills. Use a simple list instead.

Fix Your File Type

Word docs (.docx) are safe.

PDFs are usually fine, but older ATS systems struggle with them. Never submit a JPG or PNG.

If the application portal allows both, choose .docx.

It’s the safest bet for accurate parsing. If you must use PDF, ensure it’s text-based, not an image scan.

Warning: If you can’t highlight and copy the text in your PDF, the ATS can’t read it either. Test it yourself before submitting.

Standardize Your Headings

Don’t get cute with section titles. Use "Work Experience," not "My Journey." Use "Education," not "Academic Background."

The ATS looks for specific markers to categorize your data. If it can’t find the "Experience" section, it assumes you have none.

Keep it boring. Boring gets you hired.

  • Use "Work Experience" or "Professional Experience".
  • Pro tip: Use "Education" for degrees.
  • Use "Skills" for technical abilities.

Common ATS Myths Debunked

People waste time on nonsense. Let’s clear up the noise so you can focus on what actually matters.

White text keywords work

Modern ATS flags this as cheating. Instant rejection.

More pages are better

Keep it to 1-2 pages. Recruiters skim.

Photos help you stand out

In the US, photos cause bias issues. Remove them.

Frequently Asked Questions

Do I need to include a photo?

No. In the US, photos are discouraged due to anti-discrimination laws. They also clutter the file and confuse parsers.

Is a summary section necessary?

Only if it’s packed with keywords. Otherwise, skip it. Use that space for more relevant work history.

Can I use icons for contact info?

Avoid them. Some ATS systems read icons as gibberish characters. Use plain text labels like "Email:" and "Phone:".

Stop guessing. Fix your formatting.

Don't annoy your recruiter. Use GoatOpt to ensure your resume is clean, compliant, and readable.

Your checklist is complete. Screenshot this page or print it out — having it visible on your desk beats bookmarking it and forgetting.
